Portsmouth Scrap Car Collection Checklist

Use this checklist once your vehicle offer and collection appointment have been agreed. Keep it open on your phone or print it for the handover. It separates what to confirm beforehand, what to have ready on the day and which records to keep after the car leaves. A submitted quote request is not an appointment.

Start a Portsmouth scrap car quote using the form on our homepage. Continue on ScrapTrak to confirm the vehicle, condition and contact details. For an access or documentation question, call 023 9355 2546. A quote request does not reserve a collection slot.

Before the appointment is confirmed

  • ☐ Confirm the actual collection address and full postcode, including a garage or workplace address if the car is away from home.
  • ☐ Check the buyer or recipient’s name, the price, any charges, payment method and expected payment timing.
  • ☐ Tell the provider whether the car starts, rolls and steers, whether the tyres hold air, and whether keys or parts are missing.
  • ☐ Explain barriers, gates, slopes, narrow entrances and any parking restrictions.
  • ☐ Agree who can authorise the sale, provide site access and attend the handover.
  • ☐ Confirm the date or time window and how you will communicate a change.

Use the difficult-access guide if a Southsea parking space, Fratton street or controlled premises needs more planning. Do not promise the collector unrestricted entry until the site manager or responsible person has confirmed it.

Gather the documents and loose items

  • ☐ Keep the registration, available V5C, keys and quote or enquiry details together.
  • ☐ Have the identification and address evidence agreed with the recipient ready.
  • ☐ Explain a missing logbook or somebody acting for the owner before collection day.
  • ☐ Check the boot, glovebox, door pockets, seat storage and any roof box for personal possessions.
  • ☐ Remove personal permits, dash cameras, child seats and other belongings you intend to keep.
  • ☐ Consider saved personal information in vehicle devices and accounts, using the manufacturer’s guidance where safely accessible.

If you want to retain a personalised registration, complete the DVLA retention process before disposal. Do not remove vehicle components on the assumption that the agreed offer will remain the same. Report any change in completeness and confirm its effect first. GOV.UK’s scrapping steps cover registration retention and the relevant V5C handover.

On the day, before releasing the car

  • ☐ Check that the arriving collector matches the agreed arrangements.
  • ☐ Walk through any change in condition or access before loading begins.
  • ☐ Make sure the agreed access contact is available and any necessary gates can be opened.
  • ☐ Confirm the final amount, payment arrangement and receipt details.
  • ☐ Retain the recipient’s details, the handover date and the records supplied.

If the terms differ from what you agreed, ask for the reason and decide before releasing the vehicle. Do not push an unsafe car into the road, attempt to free seized brakes or create an improvised loading position. Call 023 9355 2546 if the arrangements need discussion.

After the handover

  • ☐ Complete the DVLA sale or transfer notification and keep the confirmation.
  • ☐ Save the quote, payment evidence, receipt and relevant messages together.
  • ☐ Confirm the intended route and retain a Certificate of Destruction when applicable.
  • ☐ Deal separately with your insurer and any parking account or permit attached to the vehicle.

A receipt and destruction certificate are different documents. Official guidance explains the certificate for a qualifying vehicle completely scrapped by an ATF. Our paperwork guide covers that distinction and missing-V5C notification.

Prepare for the kind of handover you have agreed

If the car is at a Portsmouth garage

Keep the garage contact, opening hours and release arrangements with the quote. Tell the collection provider whether you will attend or the garage will act as the agreed handover contact. Check that the keys and any removed parts will be available, and resolve outstanding release requirements directly with the workshop. Our garage collection guide provides a fuller coordination checklist.

If the car is on managed land

Confirm who can approve access, where the collection vehicle should report and who can open the gate or barrier. For a resident car park in Southsea or controlled premises in North Harbour, provide the actual entrance and bay rather than only the building’s postal address. Tell the provider if a site contact is available only at certain times.

If another person will attend

Agree the person’s role before the appointment. They need the relevant permission and the information needed to recognise the arrangements, explain access and receive the handover record. Do not assume that a neighbour holding spare keys is authorised to sell the car or change the offer. Explain any ownership or estate documentation to the recipient in advance.

Check for changes after the quote

Before collection day, compare the vehicle and parking position with the details you originally supplied. Has a component been removed, a tyre deflated, the steering locked or another vehicle blocked the entrance? Has the car moved from home to a garage? Report changes while there is time to review the price or loading plan.

If you plan to keep a fitted item, distinguish personal possessions from vehicle components. Removing a child seat is different from removing wheels or a battery. Ask about changes that affect the car and keep the provider’s response with the agreement. The incomplete vehicle guide helps identify what to disclose.

Build one handover record bundle

Keep these records together, whether on paper or in a folder on your device:

  • The vehicle description you supplied and the agreed offer.
  • The collection appointment and relevant access messages.
  • The recipient’s full details and the actual handover date.
  • The receipt and payment evidence supplied for the transaction.
  • The DVLA confirmation and any applicable destruction certificate.

The quoted price, a receipt and a banking record answer different questions. Keeping them together makes it easier to follow up an unexplained change or missing confirmation without searching through unrelated messages.

Keep a collection record with your checklist

Fill these spaces on your printed copy or copy the fields into your private notes. Keep the completed record with the quote, appointment messages and documents supplied at handover. Check it against the actual arrangements before the car leaves.

Record the recipient’s full details separately if they do not fit. Avoid adding identity-document numbers or full bank details to a sheet that may be shared. Use a transaction reference for the payment record.

If condition, access, the recipient or terms have changed, explain the difference and resolve it before handover. A completed record does not replace the DVLA notification or any applicable Certificate of Destruction.

Questions for collection day

What if the car is not ready when the appointment arrives?

Tell the provider promptly and agree the next step. Do not rush an unsafe move or release the vehicle with unresolved authority or terms just because someone has arrived.

What if the collector’s details differ?

Check them against the arrangements and contact the quote provider if you cannot confirm the handover. Establish the recipient and agreed terms before the car leaves.

Can a receipt replace my DVLA confirmation?

No. Keep the receipt as the handover record and complete the appropriate notification separately. The DVLA guide explains the route and the evidence to retain.
